Franked Mail Collection 2026: Drop Off or Collect?

Once your post is franked, it still has to reach Royal Mail. You can take it somewhere, or have it collected. The rules are a little different from stamped mail, so it is worth getting them right. Everything here was checked October 2026.

Where you can drop off franked mail

Royal Mail's business help pages list these places for franked mail:

  • A Post Office branch
  • A Royal Mail Customer Service Point, usually found at a delivery office
  • A mail centre
  • A business mail post box
  • A public post box, but only inside a franking outer envelope supplied by your machine provider

Royal Mail's Customer Service Point page confirms that you can drop franked mail there, but asks you to bring any relevant paperwork. Restricted items must go through a Post Office branch instead.

Can franked mail go in a normal post box?

Only in one case. Loose franked envelopes should not go in a public post box. Instead, you put them inside a special franking outer envelope, sometimes called a meter posting envelope or low volume posting envelope, and post that.

Dealer The Mailing Room says these envelopes take up to 30 franked items. Your supplier can usually provide them. They are handy for small offices that send a modest batch each day and have a post box nearby.

Preparing franked mail before it leaves

However you hand it over, Royal Mail asks you to separate franked mail by destination, product and class. In practice:

  1. Split UK from international mail.
  2. Split 1st Class from 2nd Class.
  3. Split letters from large letters and parcels.
  4. Face envelopes the same way, with the impression in the top right corner.
  5. Bundle letters with an elastic band.
  6. Keep Special Delivery Guaranteed and international tracked or signed items separate.

Dealers describe the usual containers as red pouches for 1st Class, green for 2nd Class and white for international, with parcels going into mail bags. Royal Mail supplies trays and bags.

Our guide to preparing and sending franked mail goes into more detail.

How long do you have to post it?

Royal Mail now accepts franked mail up to seven days after the date printed in the impression. That means if a batch misses the last post on a Friday, it can go on Monday without being reprinted.

Royal Mail business collections

If you post a lot, or the nearest drop off point is a hassle, Royal Mail can collect from your premises. It offers regular collections and one off collections. Royal Mail also lists one off business collections among the services you can pay for through franking.

What collections cost

Royal Mail sets the prices. The figures below are as published by dealer The Mailing Room and were checked October 2026. Treat them as a guide and confirm current prices with Royal Mail before you commit.

Collection type Price a year, excluding VAT
Weekday collection, time set by Royal Mail £787
Timed weekday collection, time chosen by you £1,792
Saturday collection, time set by Royal Mail £246
Timed Saturday collection, time chosen by you £479

According to the same source, businesses spending more than £16,500 a year with Royal Mail can qualify for a free weekday collection. Royal Mail's Click & Drop help pages list a single collection from £14.58, excluding VAT.

Is a collection worth it?

Work out the cost of the trip instead. If someone spends 20 minutes a day walking to a Post Office, that is roughly 80 hours a year. At a modest hourly rate, a weekday collection at £787 can easily pay for itself, and your mail goes out at a set time.

For smaller senders, a daily drop off or a franking outer envelope in a post box is usually enough.

Collections vs drop off at a glance

Drop off Collection
Cost Free, apart from staff time Annual fee, unless you spend enough to qualify for free collection
Timing Whenever you go Fixed or allocated time
Good for Low and medium volumes Daily high volumes
Proof of posting Available at counters Ask Royal Mail how this works for your account

Common mistakes

  • Mixing classes in one bundle. Royal Mail can charge the difference if 2nd Class items are found in a 1st Class pouch.
  • Loose franked mail in a public post box. Use a franking outer envelope.
  • Forgetting paperwork at a Customer Service Point.
  • Leaving tracked items in the general bag. Keep them separate and sealed.
  • Not checking collection times. If your collection is at 3pm, anything franked after that waits for the next day.

Questions people ask

Do I need a contract for collections?

Regular collections are set up as an arrangement with Royal Mail. One off collections can be booked as needed.

Can my franking supplier arrange collections?

Some suppliers can help you set it up, but the collection service itself is provided and charged for by Royal Mail, so the contract and any fees are with Royal Mail rather than your supplier.

Is franked mail collected separately from parcels?

You can hand over both, but keep parcels in separate bags by class, as with drop off.

Next steps

If you are still choosing a machine, think about how mail will leave your building. A small office near a post box might be fine with outer envelopes. A busy dispatch room will want a collection.
